Class E-Mail Group Policy

The following is the approved e-Mail Group Policy.

The Class E-Mail Groups were formed to provide additional support to the parents of Cadets attending the U.S. Coast Guard Academy. The purpose of these groups is to encourage parents of cadets to share their insights, observations, ideas, advice and experiences in an atmosphere of mutual respect and trust. In an effort to achieve the aforementioned goals, provide equal access to members, comply with various privacy acts, and meet the communication objectives of the CGA Parents Association (CGA PA); the CGA Parents Association Council has adopted the following policy:

  1. Class E-mail Group participation is membership based. Parents or guardians of a cadet in the respective Group¹s class, Parents Association Council members, Listmasters and the PA Webmaster are to be included in a Class E-mail Group upon their request. Listmasters are only allowed to require Name¹(s), E-mail Address, Relationship, Cadet¹s Name and Class Year for membership consideration in their group. Listmasters retain authority concerning acceptance or rejection of applicants not otherwise defined.
     
  2. Class Listmasters must be members of the CGA Parents Association with a cadet attending the U.S. Coast Guard Academy in their List¹s class year. Following the completion of Swab Summer, the Webmaster, CGA PA Corresponding Secretary, and the Swab Summer Listmaster will select a parent volunteer to act as the new Class Listmaster. Using a Class E-mail Group List, confidential information or the Listmaster title for any purpose other than the normal operation of a Class E-mail Group is prohibited.
     
  3. Listmasters are responsible for controlling and guiding the messages within their E-mail Group and shall provide equal access and distribution to all their group members. At their discretion, Listmasters may choose not to forward any message that is inappropriate or lacks relevance to U. S. Coast Guard Academy parenting for their cadet¹s class. Class Listmasters will insure that new members of the Class E-mail Groups are made aware of the provisions of this Class E-mail Group Policy. Listmasters will send their group List to the Webmaster one month prior to the Spring and Fall National Council meetings for inclusion in the Webmaster¹s report.
     
  4. Members are prohibited from sending messages that contain any of the following: personal attacks; political, religious, discriminatory or sexual views; commercial enterprises irrelevant to Academy parenting; and/or messages forwarded without the express permission of the author. As per Article 5, Section 3 of the Coast Guard Academy Parents Association Constitution and By-Laws, no member of the Parents Association or Class E-mail Groups shall use the the Parent¹s Association Class E-mail System to disseminate any message to the membership that encourages the recipient(s) to take action (call to action) with respect to any pending legislation or on behalf of in opposition to a candidate for public office. This paragraph will not be construed as limitation on any member, speaking on his or her own behalf, from using their computer or e-mail service to communicate with any elected or appointed government official.
     
  5. Members of Class E-mail Groups have the right to expect their communications to remain private and confidential to the Group. The sharing of personal information from an E-mail Group with persons outside the Group, especially any member of the Corps of Cadets, is a violation of privacy and may be grounds for termination of E-mail Group privileges.
     
  6. Parents are reminded that cadets are adults and have the right to expect reasonable privacy concerning the events in their lives. Parents should exercise careful judgment to insure that their E-mail messages respect the privacy of all members of the Corps of Cadets.
     
  7. Any disputes regarding Class E-mail Group membership eligibility, information requirements, editorial practices, message content, or privacy violations may be referred to the CGA PA Corresponding Secretary for review and appropriate disposition.
     
  8. The CGA PA Corresponding Secretary, as a representative of the CGA PA Executive Council, will act as a liaison between the Webmaster, Class Listmasters and Parents Association Council in order to meet the communication objectives of the Parents Association. The Class Listmasters and Webmaster will have direct access to the Parents Association Council through the Corresponding Secretary, who will coordinate activities per the Class E-mail Policy. The Corresponding Secretary will mediate all e-mail related disputes and problems. Disputes that cannot be resolved by the Corresponding Secretary will be forwarded to the Council for arbitration.
